Deposit, Balance, Cut-Off: The Payment Timeline on a Package Tour

Almost every package tour follows the same money timeline: a deposit at booking, the balance some weeks before departure, and a sliding scale of penalties if you cancel. The details vary, and the details are where people lose money.

The deposit

A fixed amount or a percentage, paid at booking to hold the place. Some operators make it fully refundable for a short window; most make it non-refundable from day one. Marketplaces sometimes hold the deposit themselves and pass it to the operator later.

The balance due date

This is the line to circle. Typically 60 to 90 days before departure, sometimes 120 on trips with permits or flights. Once the balance is paid, cancellation penalties usually jump from 'lose the deposit' to 'lose most of the price'. Insurance should be in place before this date, not after.

The cancellation scale

A common shape: lose the deposit if you cancel more than 60 days out; 50 percent between 60 and 30 days; 100 percent inside 30 days. Operators write their own, so read the actual table. Note what counts as the cancellation date: when you email, or when they process it.

What the operator cancels

If the operator cancels for low numbers or a safety issue, most offer a full refund or a transfer to another date. Read which. Some marketplaces and operators default to a credit rather than cash, which is worth less to you if you do not travel again with them.

Weather, strikes and closures

A grounded balloon flight, a closed bay, a blocked mountain pass: these usually fall under 'force majeure'. The itinerary changes, and there is normally no refund for the missed element unless the terms say so. Ask before booking what happens to the highlight of the trip if it cannot run.

A checklist

  • Deposit amount and whether any of it is refundable
  • Balance due date
  • Cancellation scale, with the dates that trigger each step
  • What happens if the operator cancels: refund or credit
  • How weather cancellations of included activities are handled
  • Whether the price is locked at booking or can change with exchange rates or fuel
